Notice of AGM
When: Saturday May 30, 2020 @ 9am
Where: Due to the current social distancing guidelines we will proceed with our AGM via Zoom.
What is an AGM?
An Annual General Meeting (AGM) is a meeting of the general membership of an organization. PPAC’s membership consists of parents and/or guardians of registered swimmers. The agenda of an AGM may include electing the Board of Directors Executive, making important decisions regarding the organization, and informing the members of previous and future activities. At this meeting, the membership may receive copies of the organizations accounts, review fiscal information for the past year, and ask any questions regarding the direction the organization will take in the future.
This meeting is a great opportunity for everyone to connect and find out a little about what happens “behind the scenes” with the club. This is also a great opportunity to find out about volunteer opportunities within the club! Please note that those in attendance will not be selected or nominated by others to take on volunteer roles.
The agenda for the meeting is attached and the following information is important to know regarding the Board of Directors Executive and Committee Members.
The current Executive is as follows:

Treasurer/Registrar – Carlene Cooke
Team Manager – Vacant
The current volunteers in the president, vice president and treasurer role have agreed to stay on for the 2020/2021 swim season this leaves the secretary and team manager positions vacant. If you wish to put your name forward for vacant positions or positions where names have already been put forward please email firstname.lastname@example.org no later than 7 days prior to the AGM, with your name and the role you wish to be nominated for. In the event that there are multiple nominations for a role, a vote will be held at the AGM.

We are looking to fill all of the committee positions for the 2020-2021 season. Should you be interested in volunteering for one of these positions please email email@example.com with your name and the position you are interested in no later than 7 days prior to the AGM.
Anyone who is a member of the Board of Directors (Executive and Committee Members) is required to attend a monthly board meeting held every second Tuesday of the month at 6pm at the Boarder Paving Athletic Centre and fulfill their role throughout the swim season.

We are also looking to create a list of anyone who has experience in grant writing and would be interested in authoring grant applications for the club. If this is you, please respond to this email with your interest.
The board during this season worked to have our bylaws updated. In order for these bylaws to be passed it will require a Special Resolution as outlined in the Societies Act. A copy of the proposed new bylaws are attached for you reference.
